Entering Data in the Spreadsheet

Whenever a project is opened, the Project Spreadsheet appears. If there are no items in the project, the spreadsheet will be empty, as shown below. The project name and the "parent" collection name (where items will eventually be uploaded) appear in the upper left portion of the project title bar.

Once items have been added to the project, each item record appears as a row in the spreadsheet. Data can be entered directly into any cell.

Spaces, tabs, carriage returns, and HTML are not generally recognized by the Server and should not be used in your metadata with two exceptions:

  • The <br> tag may be used in any metadata field.
  • Carriage returns may be used in full-text fields and will aid in formatting only when page text and page image are viewed side by side.

Multiple entries within a field will be treated as a single string unless the terms are separated with a semicolon and a space.

To enter the same cell data in multiple contiguous rows, use the Fill Up, Fill Down, Fill All functions.

  1. Right-click in the cell which contains the text you want to copy. A submenu with three options appears. The submenu will not appear if the desired cell is already active when you right click on it. Right-click when you initially select a cell or tab to the field and then right-click in the desired cell.

  2. Select one of the three options: Fill Up, Fill Down, or Fill All.

To resize columns for better viewing, hold your cursor over the dividing cell borders of a column header (the first row of the spreadsheet with gray background). When the cursor changes into a double-headed arrow, move the line to adjust the column width.

Keyboard Controls in the Spreadsheet

Keyboard shortcuts within the project Spreadsheet make it easier to enter metadata and perform common operations without using a mouse. The terms "active" and "outlined" are used to describe the state of cells when using shortcut keys. The examples below illustrate the two states.

  • Press Tab to close the current active cell and move one cell to the right.
  • Press Shift + Tab to close the current active cell and move one cell to the left.
  • Press Enter to close the current active cell and move down one row.
  • Press Shift + Enter to close the current active cell and move up one row.
  • Press Ctrl + Shift + Enter from an outlined cell to open the item in the Media Editor.
  • Press Ctrl + c to copy text from an outlined cell.
  • Press Ctrl + v to insert copied text into an outlined cell.
  • Press Ctrl + x to cut text from an outlined cell.
  • Press Ctrl + arrow key to move to the farthest cell in that direction.
  • Press Ctrl + Enter to insert a carriage return in the text in an active cell. This formatting is retained only when used in a full-text field and the page text and page image are displayed side by side in the CONTENTdm search client.
