Replacing Single Images in a Collection

Individual images within a collection can be replaced using the Acquisition Station search to locate and download an item into the Acquisition Station. (Images that comprise compound objects can also be replaced in this manner.) When you have finished working with images they must be uploaded to the pending queue for Collection Administrator approval and addition to the collection database.

Use this editing process when you want to replace one or a few images within a collection. The item metadata is retained (but may be edited) and project template settings and any image rights settings within the project are conveyed to the replacement item.

To replace an image:

  1. If the image you want to replace is already in the Acquisition Station, skip ahead to step 5. If the image you want to replace is not downloaded into the Acquisition Station, open the project in the Acquisition Station that corresponds to the collection containing the image you want to replace.

  2. From the Acquisition Station toolbar, click search button Search. The query window opens.

  3. From the tabs at the top of the query window choose Search Selectable Fields or Search Across All Fields.

    • To search selectable fields, choose the field you wish to search and click in the text box next to the field name. The vocabulary list at right displays all keywords within the database that are contained in the selected field. Double-click a word in the list to place it in the text box.
    • To search across all fields, type a keyword or keywords into the text box next to one of the available fields.

  5. Click Search. Search results are displayed below the search fields. Click Forward or Back to move through search results. Click Prev Batch or Next Batch to move backward or forward 100 items.

  6. Double-click on the thumbnail image of the item you want to replace. The item and the Media Editor will open.

  7. From the Tools menu, select Replace Object. A dialog box appears.

  8. Browse to the file that will replace the current item.

  9. Double click the replacement file. A dialog box prompts you to confirm the replacement. Click Yes.

  10. The new image appears in the Media Editor and the metadata remains unchanged. Edit the metadata if you wish to make changes.

  11. Click Save. The item and Media Editor close. The changed item appears in the Project Spreadsheet.

  12. To replace another single item, return to step 2 above.

  13. When you have finished, click Upload to add the items to the pending queue. The items will need to be approved by the Collection Administration who must then add them to the collection and build the text index as usual.
