Using Metadata Fields in Compound Object Creation to Link Items

When you plan to create compound objects, it is a good idea to add to the collection a separate metadata field for internal use. Use this metadata field to add a common identifying word or title to each of the scanned images or pages that make up the compound object. Common internal metadata makes it easier to locate items when you are ready to build the compound object.

Collection Administrators can establish a special metadata field at the time the collection is created or create a new field within an existing collection. Either way, the internal metadata field should be created prior to importing items into the project.

The special characteristics of this field are that it is searchable and hidden from end-users.

To add a searchable, hidden field:

  1. From the Collection Administration console, click View/edit collection field properties.

  2. At the bottom of the Field Properties page, click Add new field. This Edit Field Properties page opens.

  3. Type in a name for the field you want to create. In this example, the new field is named "Compound Object". The values for Searchable and Hidden must be set to Yes. Hidden fields are not visible to end-users, but can be seen by those who build the collection.

  4. Click Add this field to complete your changes. Close and reopen the project to refresh the project settings. The new field name appears within your project.

  5. After creating the new field, use the Spreadsheet or the Media Editor to enter identifying text. For example, in the spreadsheet below, a few items contain the text "Campus Tour 1" in the newly created metadata field labeled "Compound Object".

    When you are ready to build compound objects, use the hidden, searchable field and its text as your search criteria to locate the individual items the make up each compound object.
