Importing a Compound Object

Using the Batch Add wizard you can import compound objects such as documents and monographs or post cards and six-sided objects into CONTENTdm. Once the files that make up the compound object are appropriately named and organized, the process of adding them to CONTENTdm is simple.

Before you begin

  • Make sure all the scanned files for your compound object are accessible from your local machine. All images for the compound object should be in a single directory. Any text files associated with the compound object should be in another separate directory, saved as .txt files with names that correspond to the image file names. For example, if the image of a page in a document is named 037_page34.jpg, the corresponding page text file should be named 037_page34.txt.

  • All files are imported in alphanumeric order, so name your files accordingly.

  • To make text within documents searchable and view pages and text side by side, be sure to configure the collection field properties appropriately. Learn how to establish collection settings that enable full- text searching of documents and monographs.

  • Use directory and file names to organize documents with hierarchical structures (monographs) as in the example shown of a book with a mix of chapters and pages.

To import related files to create a Compound Object:

  1. From your Acquisition Station project, click Batch add button Batch Add.

  2. Select Import related files to create a Compound Object.

  3. Click Next.

  4. Select the type of Compound Object you wish to create.

    • Document
    • Monograph
    • Picture Cube
    • Post Card

    Note: CONTENTdm automatically imports files in alphanumeric order according to the file name. Images for post cards and picture cubes are also imported in alphanumeric order: the first image imported is used as the front image; the second image imported is used as the back. When creating a picture cube, images will be imported in alphanumeric order and applied to your picture cube in the following order: front, back, top, bottom, right, and left. Remember to organize and name your files accordingly.

  5. To add your images, click Browse. Locate and double-click on the directory of images you want to import. Click OK to close the Browse dialog box. Click Next.

    If the collection is not configured to support full resolution images, proceed to Step 8.

  6. Are you importing full resolution images?

    • If not, click No, then click Next to begin entering metadata about the compound object.
    • If you are importing full resolution images, click Yes.

    Full resolution images require significant bandwidth for users to download and are not used typically as display images. CONTENTdm can automatically generate JPEG display copies of your full resolution TIFF or JPEG files, or you can use your own custom display copies.

  7. Select one of the options from the Full Resolution Setting dialog:

    • Auto generate display copies to use copies created by CONTENTdm. Click Advanced to optimize display images. Click Next. (JPEG2000 Acquisition Station users can access JPEG2000 settings by clicking Advanced.)
    • Use preprocessed display images then click Browse to access the images from your local machine. Locate and double-click on the directory of custom display images you want to import. Click OK. Click Next.

  8. The Media Editor Instructions dialog appears. To prevent this screen from appearing in the future, check Do not show this dialog again. Click Next.

  9. The Media Editor opens. Enter a description of the document to appear in the collection. Click Next.

    Note: Post cards and picture cubes are composed of sides rather than pages, so the option to modify page names is not available when creating post cards and picture cubes. To use a term other than side within picture cubes or post cards, edit the appropriate variables in the localization.js file.

    To specify page names:
    Three options are available for page names.

    • Use the names of files as page names
    • Use a portion of the names of files as page names, ignoring the portion of the file name up to and including an underscore, for example: 0001_Cover, 0002_Table of Contents, 01_page 1.
    • Label the batch of files by specifying a title in the text box and a number to begin the series.

    To import transcripts:
    If your collection supports full-text searching, the option to import transcript files is available.

    1. Check Import transcript check box Import transcript.

    2. Click Browse. Locate and double-click on the directory of text files you want to import. Click OK to close the Browse dialog box.

    To open the Template Creator:
    Using the Template Creator, you can add the same metadata to fields in each page. Learn more about using the Template Creator.

    1. Click Advanced button Advanced. The Template Creator opens.

    2. When you have finished entering information in the Template creator, click OK.

  11. When you have finished establishing Page Metadata settings, click Next.

  12. Click Upload to build the compound object.

  13. Click Finish to send the object to the pending queue for review by the Collection Administrator, or click Preview to preview the object. The Compound Object Preview window opens so you can verify the organization and structure of the document. If you are satisfied with the document, close the preview window and click Finish. The document will be sent to the pending queue for Collection Administration approval.

    To make changes to the document, close the Preview window. Click Cancel to exit the Batch Add wizard. Make any needed changes to the files and begin the Batch Add process over again.
